Challenge:

Our strategic partner’s client was looking for an open enrollment and new hire enrollment strategy that could touch their entire population that operates in over 40 states (communication, education, and enrollment). The client needed the solution to include site visits (face to face) as well as call center support to be able to reach as many of their thousands of locations as possible in a 45 day window. The client was adding new health plan solutions and a voluntary benefits solution within a captive. Due to the large number of employees and the number of locations spread out across the country, the HR team always had a challenge with implementation, participation and timely enrollment completion. The client also needed an administration and enrollment system that could link with their proprietary payroll/software system and deliver enrollment data timely.

Solutions:

Core Enrollment Solutions (CES) alongside our Strategic partner introduced multiple strategies to make sure the enrollment was streamlined and successful:

  • We built out a much needed leave behind benefits administration system to help capture the enrollment and to be the system of record for benefits with EDI and integration set-up with their various carriers and payroll system.
  • We put together pre-enrollment communication (supplement current communications) to include: Open Enrollment Announcement Flyers, Manager Memo’s and e-mails, Text-to-learn and custom landing pages and intra-site links.
  • Trained all benefit counselors on the core benefit offering as well as the captive lines with the goal of boosting participation.
  • Staffed on-site visits at over 1,500 locations in a six week period and provided call center support and enrollment for remote locations and those that couldn’t receive an onsite visit.
  • Set up an online scheduler for employees to select a time to ask questions with a benefit counselor during open enrollment.
  • We established an ongoing new hire education and enrollment process to be sure all employees outside of open enrollment are also on boarded effectively.

Results:

  • We consistently reach thousands of employees that previously never had the means to speak with a benefits counselor and therefore have increased employee education and enrollment participation by over 300% over the years.
  • We helped established and built out their benefits administration system that has given the client a streamlined way to capture enrolment, manage eligibility and get all employee enrollments to carriers and payroll system timely. (Stay Compliant)
  • Helped the Client’s captive underwriting profits grow substantially due to increased enrollment in the VB lines of coverage.
  • Voluntary enrollment generates enough new revenue for our strategic partner to help fund and off-set the client’s ongoing fee for service.
  • We annually complete the open enrollment in 7-8 weeks with no extensions needed for over 55 Thousand EE’s.
  • We continue supporting open enrollment, new hires and client acquisitions throughout the year and have continued to partner and support this client now in our 14th year.
